Service options to address the data security of clients’ end of life IT equipment
Standard Service – Collection of assets from site, processing, including data destruction at our facility.
Point to Point Collection – Standard serviceas above, but with a same day service.
Standard Service – Our standard process is to collect assets from our clients’ sites, using sealed crates for high value assets, with next day delivery back to premises. Assets are then logged onto our system, tested if they have re-usable value, and then donated or resold where possible. Data bearing assets to be re-used are data wiped using Blancco software, and HDDs from assets to be recycled, either because they are low value or have failed the testing process, are physically destroyed.
Fully compliant with HMG IA Standard No. 4-5. In more detail, the security elements of the process include:
- The use of accurate paperwork at the point of collection, listing asset quantities, agreed and signed for by both the courier and client site contact.
- Sealed crates, for the transportation of laptops, or any other assets specified by the client.
- Consignments checking upon arrival to ensure that all assets collected have been received.
- Asset logging, to enable asset tracking throughout the process, and to provide the basis for a clear audit trail, reporting and certification.
- All desktop PC cases are physically opened up to check for additional, disconnected HDDs, and physically labeled by a blue sticker to indicate that this check has taken place.
- All laptop and desktop media bays are checked for CDs, DVDs and FDDs, and physically labeled by a yellow sticker to indicate that this check has taken place.
- Data destruction by data wiping or physical HDD destruction.
- Data wiping success is verified at 4 stages. Firstly by the test rig operative, and secondly at the same stage by a supervisor. Assets are physically labeled by a second blue sticker and a red sticker, respectively, to indicate that this check has taken place. Equipment to be re-used is then checked on the MIS by a member of our Service Sales Division, and finally, any equipment to be dispatched is checked for the QA stickers listed above, and also has the media bays rechecked, by the dispatch team.
- All this takes place within a government approved facility.
- Point to Point Collection... This is the same service as detailed above, in our standard service, but with use of a same day, point to point courier.
- Supply of Blancco Licenses on site... We can supply clients with a Blancco software kit (Govt approved software) and instructions for clients to carry out their own data wipe on site. The client will receive a USB memory stick with the number of Blancco licenses required on it, they will run the data wiping software from the CD provided, and will then save the information onto a blank USB (also provided). When returned, the information on this USB stick will be uploaded onto our MIS, allowing us to provide certification and reporting.
- Onsite Data Wiping... We can send an engineer to the client’s site to data wipe assets, using our onsite data wiping rig. Depending upon client location circumstances, up to 60 machines can be wiped in a day (engineer working hours 9am to 5pm, 1 hour for lunch). We would then collect assets and process them as per our standard service. Cost: on request. Note – onsite space and hardware requirements for our engineer will need to be verified.
- “Shred and Re-use” – Onsite HDD Destruction... We will provide on-site HDD shredding, but then collect the laptop and desktop units, minus the HDDs, and bring them back to our processing facility. They will then be fitted with new HDDs, and tested and re-used as per our normal process. Batches of equipment must be at least 50 units. Laptops and desktops must all have been working prior to disposal.
